In the rapidly evolving landscape of technology, small and medium-sized businesses (SMBs) are increasingly turning to artificial intelligence (AI) and machine learning (ML) as viable solutions for process automation. These technologies not only streamline operations but also enhance efficiency, thereby enabling businesses to compete in an increasingly competitive marketplace.
But what is AI and ML, really, and is it right for your SMB? Skip to the end of this blog to get my no-nonsense “what I think about AI and ML and what I think you should do” opinion.

Understanding AI and ML
Artificial Intelligence refers to the simulation of human intelligence processes by machines, especially computer systems. Machine Learning, a subset of AI, focuses on the development of algorithms that allow computers to learn from and make predictions or decisions based on data. Together, they provide powerful tools that can significantly impact various business processes.

Why Process Automation using AI/ML?
SMBs often juggle limited resources while striving for growth. Process automation through AI and ML offers numerous benefits that can help alleviate this pressure:
- Increased Efficiency: Automated processes reduce the time required for repetitive tasks, allowing employees to focus on higher-value activities.
- Cost Savings: By minimizing human error and optimizing resource allocation, businesses can significantly reduce operational costs.
- Enhanced Decision-Making: AI-driven analytics provide insights into customer behavior and market trends, enabling data-driven decision-making.
- Improved Customer Service: Chatbots and virtual assistants enhance customer interaction by providing 24/7 support and personalized responses.
Implementation Strategies
To effectively integrate AI and ML into their operations, SMBs can consider the following strategies:

- Identify Pain Points: Assess existing processes to pinpoint areas that could benefit from automation, such as inventory management, customer inquiries, or data analysis.
- Start Small: Begin with smaller projects that can show quick results and build confidence within the organization. For instance, implementing a simple AI-driven chatbot can automate customer support for frequently asked questions.
- Invest in Training: Ensure that employees are well-trained in utilizing AI tools. This will maximize the effectiveness of the technology and foster a culture of innovation.
- Choose the Right Tools: Research and select AI and ML tools that are best suited for your business needs. Many cloud-based solutions are available that cater specifically to SMBs.
Summary
As technology continues to advance, the opportunities for process automation through AI and ML will only grow. The ability to smoothly operate your SMB will never be the same and can be more efficient than you’ve ever imagined.
Artificial Intelligence isn’t “the future.” It is now.
So, do I think every SMB should rush for AI automation?
Nope.
Due to the nature of being a Process Improvement Guru, I am fully-immersed in the art/science of process automation and, naturally, there’s an element of AI incorporation.

But when I’m asked for guidance on whether or not to implement AI automation, there’s two notions I have on this topic:
- Begin with more simplified process automation and scale up to more advanced automations (which includes AI). I know other companies and other people will tell you to go all-in with AI – it’s ready, it’s simple, it’s easy, it’s efficient, and you should get into it now and let it grow with you. I’m not saying that guidance is wrong; it’s an opinion/approach which is totally fine.
MY opinion is that simple automations are easy to get started, they create immediate, reliable and predictable efficiencies, and take less time to optimize.
We are releasing low-scale automation packages soon. Ask us how easy they would be for your business and what the ROI would be.
- I don’t want to eradicate humanity. I love efficiency and automation, I really do.
But one of the issues with going full-on tech is we risk losing the people side of business. Human service, human intelligence, human interaction, human satisfaction, people getting a job that pays a fair wage so they can enjoy life, raise a family, afford to live somewhere, etc. etc.
So, while I enjoy working on automation and enjoy the satisfaction, efficiency, and consistency of automation, I do my best to choose how much I want to automate and how far I want to go with it and, let me tell you, it’s a bit of a moral dilemma for me but I’ll only choose to go so far with it.

So while everyone tells you that the early adoption of these technologies can lead to significant advantages, including increased efficiency, cost savings, and improved customer satisfaction, do your homework and make sure you feel it’s right for your business before you take the plunge.
Want to test the waters a bit before taking the AI/ML plunge? I don’t blame you. Begin with process automation without AI and scale up from there. You won’t regret it.
