If a task only takes you a<strong> few seconds<\/strong> or a <strong>couple of minutes<\/strong>, why would you need to automate this? As a general rule, if you perform an activity <strong>more than a few times on a regular basis <\/strong>and there is very little variation in the steps to the activity, then it is considered a <strong>good candidate<\/strong> for automation.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity is-style-dots\"\/>\n\n\n\n<p><strong>Let&#8217;s give you a few examples of good automation scenarios:<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Each morning when I wake up I want to check the weather so I set up an <strong>automation <\/strong>that announces the weather to me as soon I turn off my wake-up alarm. <\/li>\n\n\n\n<li>Booking an event in my calendar. I regularly need to schedule time in my calendar for various  purposes. Rather then open my calendar and click &#8220;new event&#8221; and type in the subject, enter the start date and the time and enter the end date and time, then click the check mark and close the app, I created<strong> one button<\/strong> that prompts me for the event topic, the start and end date\/times and it automatically enters the details into my appropriate calendar (I have several calendars) and closes.<\/li>\n\n\n\n<li>When I open my MacBook to start my work day I open the following applications: a web browser, my email application, my password manager and my task list\/reminders. Then I turn on &#8220;do not disturb\/focus&#8221; mode, open my music app and select a playlist based on my energy level that day. I created a <strong>one<\/strong>&#8211;<strong>click automation <\/strong>to open all those apps and prompt me for which playlist I would like it to play. I select the specific playlist I want and it shuffles my tunes and I get on with my day! If you are using a Mac, you have two applications you can use for automation: Mac Automator and Shortcuts. If you are using an iPad or iPhone, you can use Shortcuts. When creating automations with Shortcuts on your iPad, <strong>the automations you create will sync to your iPhone and vice versa.<\/strong><\/p>\n\n\n\n<p><strong>Lets show you how to set up a few simple automations using your MacBook and your iPhone.<\/strong><\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity is-style-dots\"\/>\n\n\n\n<h2 class=\"wp-block-heading\"><mark style=\"background-color:rgba(0, 0, 0, 0)\" class=\"has-inline-color has-vivid-purple-color\">MacBook automation example using Mac Automator.  <\/mark><\/h2>\n\n\n\n<figure class=\"wp-block-embed is-type-video is-provider-youtube wp-block-embed-youtube wp-embed-aspect-16-9 wp-has-aspect-ratio\"><div class=\"wp-block-embed__wrapper\">\n<div class=\"responsive-embed widescreen\"><iframe loading=\"lazy\" title=\"Mac Automation Using the Automator Application\" width=\"1000\" height=\"563\" src=\"https:\/\/www.youtube.com\/embed\/2Rzf84t1H08?feature=oembed\" frameborder=\"0\" allow=\"accelerometer; autoplay; clipboard-write; encrypted-media; gyroscope; picture-in-picture; web-share\" referrerpolicy=\"strict-origin-when-cross-origin\" allowfullscreen><\/iframe><\/div>\n<\/div><figcaption class=\"wp-element-caption\">Click the video above for the full tutorial!<\/figcaption><\/figure>\n\n\n\n<p>Scenario: add today&#8217;s date to any filename.<\/p>\n\n\n\n<ol style=\"list-style-type:1\" class=\"wp-block-list\">\n<li>Open Automator by typing \u201cCommand + space bar\u201d and typing in &#8220;Automator&#8221; and you should be able to find the Automator.app &#8211; open it.<\/li>\n\n\n\n<li>Click the [File] menu and click [New].<\/li>\n\n\n\n<li>Select [Quick Action] and click [Choose].<\/li>\n\n\n\n<li>Where it says, \u201cWorkflow receives current\u201d, select the drop-down menu beside it and choose [files or folders].<\/li>\n\n\n\n<li>Where it says \u201cin\u201d, select the drop-down menu beside it and choose [Finder.app].<\/li>\n\n\n\n<li>In the menu on the left side, select [Files &amp; Folders] and then select [Rename finder items].<\/li>\n\n\n\n<li>You can either double-click [Rename finder items] with your left-mouse button or click and drag [Rename finder items] to the window on the right.<\/li>\n\n\n\n<li>Change the drop-down menu option from [Add Date or Time] to [Add Text].<\/li>\n\n\n\n<li>In the \u201cAdd\u201d section, type a hyphen (-) and press the space bar to add in a space.&nbsp;<\/li>\n\n\n\n<li>On the top left of the window, it says \u201cActions\u201d and \u201cVariables\u201d. Choose [Variables].<\/li>\n\n\n\n<li>Look for the \u201cToday\u2019s Date\u201d variable in the list in the second column, and double-click it with the left-mouse button.<\/li>\n\n\n\n<li>In the lower section of the window on the right you will see a \u201cVariable\u201d area. Double-click [Today\u2019s Date] with your left-mouse button.&nbsp;<\/li>\n\n\n\n<li>Change the \u201cFormat\u201d drop-down menu to [Custom Format\u2026] and customize it to your liking. into the search field.<\/li>\n\n\n\n<li>Select &#8220;play music&#8221; or drag it into the main window.<\/li>\n\n\n\n<li>Click the arrow to the right.<\/li>\n\n\n\n<li>Choose the shuffle setting (off or songs).<\/li>\n\n\n\n<li>Choose the repeat setting (none, one, all).<\/li>\n\n\n\n<li>Name or rename the shortcut &#8220;play song list.&#8221;<\/li>\n\n\n\n<li>Return to the main shortcuts screen.<\/li>\n\n\n\n<li>Run your new &#8220;play song list&#8221; shortcut. <\/li>\n<\/ol>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<p>Now that you have a few simple examples, you can begin to identify new automations scenarios that would<strong> save you time<\/strong> and <strong>increase your accuracy<\/strong>. Also note that when you first open up shortcuts, it has a gallery section with pre-made automation templates.
